After you have registered for the conference, your information will be forwarded to our approved travel agency, Cain Travel, to begin the travel reservation process. Cain Travel will determine the best flight for you based on cost and the information you provide at registration. Next, a representative from the agency will forward you a copy of an itinerary for approval. It is your responsibility to work with Cain Travel to approve travel arrangements within 24 hours to ensure the best possible ticket cost per attendee. If you do not wish to use the least expensive method of transportation identified by our travel agency, you may select a different option and pay the difference including the added processing fee to split the payment. Also, any costs associated with getting to and from the airport are the responsibility of the attendee.
DRIVING (Personal Vehicle/Rental and Car Pooling)
For Eligible Attendees:
TMCF will reimburse the driver/owner of the vehicle up to $200 for mileage (.50 per mile) to and from the conference hotel. TMCF is not responsible for nor will reimburse the driver for gas, parking, tolls and or rental fees. If attendees wish to car pool, the same above rules apply and only the driver/owner of the car pool vehicle will be reimbursed (see reimbursement policy below). Everyone in the vehicle is not entitled to a reimbursement for travel assistance.
Travel reimbursement forms must be submitted within thirty (30) days after the conclusion of the conference. TMCF reserves the right to deny any request submitted outside of the stated window. Reimbursement is requested using our Travel Reimbursement Form.
